The Difference Between a Catering Manager and Wedding Planner (And Why Both Exist)

I saw this on the Iris Fields Guide to Wedding and Event Planning blog and had to share it with my readers as well. Wedding Planner Mary Dann-McNamee recently wrote an article in Inside Weddings magazine on “The Ways a Catering Manager and Wedding Planner Differ.

My favorite quote: The jobs of both the wedding planner and the catering manager are extremely important entities for a large event, and need to be looked at as complementary forces, not as competitive ones. In that same vein, they each have separate and very different job functions and should not be depended upon do the job of the other.

It’s Raining, It’s Pouring, and I’m Getting Married Today!

Ironically, we’re in the middle of another Las Vegas summer as I write this but always, always, always have a backup plan in case of inclement weather! Although it’s rare for us to move scheduled outdoor events inside in Las Vegas, it does happen once in awhile. Contrary to popular belief, we DO get harsh weather including winds up to 60 miles per hour, rain, hail, and even snow!

While we’re on the topic, it’s a great idea to get wedding insurance in case your wedding happens to fall on the one day Las Vegas experiences heavy snowfall…that actually sticks…and your guests are unable to drive to your wedding. Yes, it actually happened back in December of 2008 and traffic was at a standstill in some parts of town.

Guest Book Alternatives

Open the book…..sign the page…..close. How many times have we done that at a wedding while signing the traditional guest book? Then we think to ourselves “Are the bride and groom really going to look at my signature years from now?” While attending my friends Missy and Jason’s wedding, guests signed a Dallas Cowboys Jersey (the groom’s favorite sports team) personalized with their last name on the back. It was such a creative way to remember who attended their wedding and something that won’t get boring to look at. Here are some other great and unique ways to get a record of your guests.

A Wishing Tree

This can be decorated to fit your wedding colors or your home decor, plus it is a great visual to display. Guests will write you well wishes and hang it from your tree.

Wedding Guest Book Box

This monogrammed recipe styled box alphabetizes your guests for you. Each guest can take a card and write you some love. The box is perfect for a little keepsake and it would be fun to take out every now and then.

How Do I Fold This Napkin?

For a formal plated sit down meal, your place setting is the first thing your guests will see upon arriving at their seats (after they see that beautiful centerpiece of course).

Venues usually have their “standard” way of folding napkins. By no means are you required to have them fold your napkins that way. During your wedding planning process, this is a great question that you can ask your catering manager. Some venues have plenty of options and you can feel free to figure out the style that works best for you. There’s no need for the “goblet fan” or “opera fan” for your special wedding day!

When thinking about how to fold your napkin for your wedding reception, also keep in mind where you’ll be placing your wedding favor as well as the style, shape/size of your menu. Will there be a napkin ring? Will you have a single bloom at each place setting?

There are entire books on napkin folding. I remember that as an undergrad at UNLV, we had an entire class on napkin folding (sadly, I ditched that day…oops but I more than made up for that with the hands on banquet training I received at numerous hotels).

Ideas for Las Vegas Themed Welcome Bags

It goes without saying that Las Vegas is a destination wedding town – most of our clients are coming from all over the country and world and even planning some extravagant affairs. A common statement is that they want their guests to have fun and enjoy their time here since it is also a vacation. Common questions we get are “what should we put in our Las Vegas themed welcome bags?”. Here are some of my ideas:

A nice welcome note handwritten by you
Since your guests will likely be here for a few days, it would be nice to put an itinerary in the welcome bags (it may be redundant if this is already on your wedding website but hopefully people will not be too connected while away on vacation!)
Lotion – It’s an extremely dry climate here
Eye drops – Again, it’s very dry here and your guests will be thankful
Poker chip – yes, a real one
Sunscreen
Sunglassses
Chapstick
If you’re hired a local wedding planner, ask her for some restaurant, show, and activity suggestions
Aspirin
Mints
Mini fan
Starbucks gift card
Bottles of water to ensure they stay hydrated
A few small bags of snacks
Shot glass souvenir
Splits of Champagne, sparkling wine, and/or apple cider
If feasible, a custom designed map by Laura Hooper is a nice added touch:

Place all items in a bag with the Las Vegas skyline (they didn’t have an example for Las Vegas but you get the picture):
